RedAnt Stock Control: Opening Balances and Stock Adjustments

RedAnt Stock Control: Opening Balances and Stock Adjustments

Overview

RedAnt records all stock movements using Goods In Records (GRNs) and Goods Out Records (GONs). Stock balances are calculated from these transactions, and stock adjustments create additional Goods In or Goods Out records rather than replacing existing quantities.

Important: Stock adjustments are incremental. Always enter the quantity to be added or removed, not the final stock quantity you want to see.

New Balance = Existing Balance + Adjustment

Example

  • Existing balance: 100
  • Physical count: 110
  • Adjustment entered: 10
  • New balance: 110

If you entered 110 as the adjustment, the balance would become 210.

1. Setting an Opening Balance

Use an opening balance when recording stock that already exists physically and has not yet been entered into RedAnt.

Steps

  1. Open Main Menu > Stock.
  2. Create a new stock record or locate the required Stock ID and select Edit.
  3. Locate the Balance Adjustment field next to Stock Units.
  4. Enter:
    • The opening quantity
    • The relevant date
  5. Ensure the quantity is entered in the item's stock units.
  6. Click Save.
  7. Verify the resulting stock balance.

What RedAnt Does

RedAnt creates a Goods In Record (GRN) for the quantity entered.

Example

Starting BalanceAdjustment EnteredResult
0100Goods In of 100 created; balance becomes 100

If stock already exists, the quantity entered is added to the current balance. It does not reset the balance.

2. Adjusting an Existing Stock Quantity

Use a stock adjustment when the recorded quantity differs from the physical stock count.

Steps

  1. Open the required stock record.
  2. Review the current stock balance and any existing allocations.
  3. Establish the correct stock position from your physical count.
  4. Calculate the adjustment:

Adjustment = Correct Quantity − Existing Quantity

  1. Select Edit.
  2. Enter the calculated difference into Balance Adjustment:
    • Enter a positive value to increase stock.
    • Enter a negative value to reduce stock.
  3. Enter the adjustment date.
  4. Click Save.
  5. Verify the resulting balance and associated stock movements.

What RedAnt Does

  • A positive adjustment creates a Goods In Record (GRN).
  • A negative adjustment creates one or more Goods Out Records (GONs) against existing stock receipts.

This preserves a complete stock transaction history and audit trail.

Adjustment Examples

Existing QuantityCorrect QuantityAdjustment to EnterResult
0100100Opening Goods In of 100; balance becomes 100
10011010Goods In of 10; balance becomes 110
10092-8Goods Out of 8; balance becomes 92
250-25Goods Out of 25; balance becomes 0

3. Understanding Free Stock

The Free Stock value displayed on the Stock screen shows the quantity available for allocation or issue after considering stock already allocated to job orders.

Because of this, Free Stock may be lower than the overall stock balance even when no stock is missing.

Example

MeasureQuantity
Stock Balance100
Allocated to Job Orders30
Free Stock70

In this example:

  • 100 units exist in stock.
  • 30 units have been allocated to open job orders.
  • 70 units remain available for allocation and issue.

How Free Stock Changes

SituationFree Stock
100 units held, 30 allocated to job orders70
A further 10 units added, allocations unchanged80
A further 5 units allocated to a job order75

Reviewing Allocations

Use the Allocations button on the Stock screen to review stock issued to jobs that are not yet complete.

A green Allocations button indicates that active allocations exist for the selected item.

Important

Stock allocated to a job order may still be physically present in the warehouse while no longer being available for other work.

For this reason:

  • A difference between Physical Stock and Free Stock does not automatically indicate a discrepancy.
  • Always compare like-for-like quantities before making a stock adjustment.
  • Review allocations before deciding whether a stock correction is required.
