How to Add a Carriage Charge to a Delivery Invoice

How to Add a Carriage Charge to a Delivery Invoice

This article explains how to add, amend, or remove carriage charges on a delivery invoice in RedAnt, including how delivery methods, VAT, and nominal codes are handled.

Overview

Carriage charges are added through the Delivery Charge (...) option on the Delivery/Invoice screen.

The delivery charge records:

  • The delivery method used
  • The carriage amount (excluding VAT)
  • VAT on the carriage charge
  • The nominal code for accounts export
  • Consignment or tracking information

Important: Selecting a delivery method does not automatically apply a carriage charge. Always review and enter the required amount using the Delivery Charge (...) button.

Setting Up Delivery Methods

Configure Delivery Methods

Delivery methods are maintained in a shared system list.

To access the list:

  1. Open a customer record.
  2. Select Delivery Methods.
  3. The Delivery Methods Setup screen will open.

Each delivery method contains:

  • Delivery Method – Name of the courier or service.
  • Delivery Charge – Standard charge associated with that method.

Example Delivery Methods

  • Customer Collection
  • Our Transport
  • Next Day Courier

Changes made in the Delivery Methods Setup screen are available to all customers throughout the system.

Set a Customer's Default Delivery Method

To assign a default delivery method:

  1. Open the customer record.
  2. Select the required delivery address.
  3. Enter edit mode.
  4. Choose the preferred option in the Delivery Method field.
  5. Save the customer record.

When the customer is selected on a delivery, RedAnt automatically populates the delivery method from the customer record.

The method can still be changed for individual deliveries if required.

Important

The delivery method identifies how goods are shipped, but it does not automatically populate the carriage charge.

Changing the delivery method on a delivery note or invoice will not transfer the configured delivery charge into the carriage amount field.

Always check the charge using Delivery Charge (...).

Check the Invoice Carriage Setting

The Invoice Carriage checkbox is separate from the default delivery method.

Ensure this option is enabled when carriage charges should:

  • Appear on invoices.
  • Be included in accounts exports.

Some accounting export formats use this setting to determine whether carriage should be exported.

Adding a Carriage Charge

Step 1: Open the Delivery

Open the required Delivery/Invoice record.

If the delivery was created from a sales order, a carriage charge may already have been transferred from the order.

Always check the existing value before entering a new charge.

Step 2: Open the Delivery Charge Screen

  1. Put the delivery into edit mode.
  2. Click Delivery Charge (...).

The number shown in brackets represents the current carriage amount.

Example:

Delivery Charge (0)

This indicates that no carriage charge has been recorded.

The Delivery Charge screen allows you to enter or amend:

  • Delivery method
  • Carriage amount
  • VAT amount
  • Nominal code
  • Consignment number

Understanding the Button Colours

The colour of the Delivery Charge (...) button indicates the charge currently recorded.

Green

A positive carriage amount has been entered.

Red

The carriage amount is zero or negative.

Grey

The delivery method is N/A and the carriage amount is zero.

Step 3: Enter the Carriage Details

Review and enter the following information:

FieldDescription
Delivery MethodCourier or delivery service being used
Carriage AmountCharge excluding VAT
VAT AmountVAT applied to the carriage charge
Nominal CodeNominal code used for carriage income
Consignment NumberTracking or reference number (if applicable)

Nominal Code Requirement

If a positive carriage charge is entered, a nominal code must also be supplied.

If one is not entered, RedAnt displays:

"Enter a Nominal Code!"

Step 4: Save the Delivery

Once all details have been checked:

  1. Save the Delivery Charge screen.
  2. Save the delivery.

Confirm that the Delivery Charge (...) button now displays the amount entered.

Carriage is recorded once against the delivery note rather than individually against each invoice line.

Removing a Carriage Charge

To provide free delivery:

  1. Open Delivery Charge (...).
  2. Set the carriage amount to 0.00.
  3. Confirm the VAT amount is also 0.00.
  4. Save the delivery.

Preview the invoice to ensure the charge has been removed.

Do not rely solely on clearing the customer's Invoice Carriage setting. Invoice totals and accounts export formats may not all use this setting in the same way.
